Overview

.01 - What

Lead UX design for a new internal tool that streamlined gift and entertainment disclosure workflows for compliance officers at a Fortune 500 financial firm.

.02 - How

Used user-centered design methods to identify pain points in a multi-screen, manual workflow. Mapped user journeys, created wireframes, collaborated with engineers to optimize backend API integration, holding weekly design reviews.

.03 - Why

The existing system was slow, error-prone, and inefficient—compliance officers were spending 10+ minutes per entry on a basic task. The goal was to reduce friction, ensure regulatory compliance, and save time for higher-value work.

Results

90% reduction in data entry time. Improved API performance and interface responsiveness.

Process

Design Approach

  • Held weekly design reviews with product owners and development team showcasing wireframes ensuring design direction meets product requirements.
  • Iterate on early designs based on feedback from annotated low-fidelity wireframes provided to select end-users.
  • Created mid-fidelity prototype showcasing UI interactions addressing API limitations shared by engineers and providing solutions leveraging design system components and use cases found in the Advisor360 ecosystem.
  • Presented final designs to internal stakeholders including but not limited to VP of Design, and Chief of Product.

Developer Handoff + Feedback

  • Roles and permissions were considered for each of the user as Interfaces must respect role-based access control, showing only what’s relevant and allowed for a user’s level. This improves security and usability.
  • Adhered to Design System components saving time and resources allowing for the product to be shipped within scope.
  • Collaborated cross-functionally with developers post handoff performing Q/A testing, recording bugs found and facilitating design walkthroughs with dev teams reviewing annotated wireframes.
  • User feedback was incorporated throughout the whole process from design to development to identify any potential gaps between business goals and user needs.

The process map provides a view of the iterative design strategy implemented for cross-functional collaboration.

Results

Impact

  • As mentioned before, the new Gifts and Entertainment disclosure quickly demonstrated its value, resulting in 90% reduction in data entry for gifts and entertainment disclosures.
  • Gift and entertainment reporting could now be completed on a single screen with just a few clicks.
